1. Who are we?

3. Who do we share your data with?

Only with partners we need, and only what they need. Everyone working on our behalf is bound by agreements on security and confidentiality.

Shop and payment

  • Shopify — our shop platform (hosting, checkout, customer account) and Shopify Payments.
  • MultiSafepay — payments. Your card details never reach us.
  • Your bank, if you pay by bank transfer.

Delivery

  • GLS, bpost and PostNL — parcels.
  • Our own van deliveries: we plan the routes with EasyRoutes (Roundtrip). You receive a message to confirm your delivery day, via our own confirmation page (hosted by Cloudflare).
  • WhatsApp (Meta) — only if you contact us via WhatsApp or if we confirm your delivery appointment with you that way.

Customer service, reviews and newsletter

  • Zendesk — our customer service mailbox.
  • Judge.me — reviews. After a purchase you may receive an invitation. If you write a review, it appears on our website with the name you provide.
  • YMLP — the newsletter.

Accounting

  • Exact Online and our accountant.

Statistics and advertising — only if you say "yes" to the cookie question

  • Google (Google Analytics, Google Ads) — measuring which pages and ads work.
  • Microsoft (Microsoft Advertising / Bing) — the same for ads on Bing.
  • OpenAI — the same for ads in ChatGPT.

If you say "no", we send nothing to these three partners. The shop works just the same.

We also share data when the law requires us to (for example in a judicial investigation). We never sell your data.

4. Data outside Europe

Some partners (including Shopify, Google, Microsoft, OpenAI, Zendesk, Cloudflare, EasyRoutes) are based in the United States or Canada, or use servers there. Such transfers only take place with the safeguards required by European rules: the EU-US Data Privacy Framework, an adequacy decision (Canada) or the European Commission's standard contractual clauses.

5. How long do we keep your data?

  • Orders and invoices: 7 years, the accounts 10 years (legal obligation in Belgium).
  • Customer service: up to 3 years after your last contact (longer if a warranty or dispute requires it).
  • Delivery planning: until the delivery is completed, after that only with your order.
  • Newsletter: until you unsubscribe.
  • Reviews: as long as they are online; you can always have them removed.
  • Statistics: at most 14 months in Google Analytics.
  • Your cookie choice: 12 months, after which we ask again.

6. Security

Only people who need it for their work can access your data, with a personal login. The shop and our forms use a secure connection (https). Our staff are bound by confidentiality.

7. Your rights

You may always:

  • access your data and request a copy;
  • have it corrected or erased (except what we must keep by law, such as invoices);
  • have the processing restricted or object to it (including to the newsletter and the review invitation);
  • have your data transferred;
  • withdraw your consent — for cookies via "Cookie preferences" at the bottom of every page.

Email support@e-woodproducts.com. We reply within one month and may ask you to confirm your identity, so that we do not give your data to someone else.

8. Complaints

Not satisfied? Please tell us first. You can also always lodge a complaint with the Belgian Data Protection Authority (GBA/APD), Rue de la Presse 35, 1000 Brussels — www.dataprotectionauthority.be, or with the data protection authority in your own country.

9. Cookies

On your first visit, we ask whether we may use cookies. There are three kinds:

KindPurposeWhen
Necessarymake your basket, your language and the checkout workalways (the shop does not work without them)
Statisticsmeasure how the shop is used (Google Analytics, Shopify statistics)only with your consent
Advertisingmeasure which ads work (Google, Microsoft, OpenAI) and show you relevant adsonly with your consent

"Decline" is as easy as "Accept", and with "Let me choose" you decide per kind. You can change your choice at any time via "Cookie preferences" at the bottom of every page.

To know how often visitors say yes or no, the cookie question counts the choices anonymously: only the number per day, language and type of device. We store no cookie, no IP address and nothing that can be traced back to you.

10. Changes

If we change this policy, the new date appears at the top. For important changes, we will let you know if you are a customer.
